Staffing Agency Software: What to Look For in the UK Market

Meet Resources Team 27 Jun 2026 2 min read

Choosing staffing software is less about finding the most features and more about finding the few features that actually remove work from an agency's day — matching, timesheets, and compliance chief among them.

Start with what actually costs an agency time

Most agencies lose time in the same three places: matching the right worker to the right shift quickly, chasing paper or spreadsheet timesheets, and manually checking compliance documents before every placement. Software that doesn't directly address at least one of these isn't worth the switching cost, however polished it looks.

Matching and shift visibility

Software should make it obvious, at a glance, which shifts are unfilled and which workers are available — not require digging through separate lists. If an agency also wants to collaborate with other agencies to fill shifts it can't cover alone, the software needs to support that as a core feature, not a workaround.

Digital timesheets

Paper or emailed timesheets create disputes: hours get miscounted, submissions go missing, and approvals get delayed. Digital timesheets that workers submit and hirers or agencies approve in the same system remove most of that friction, and give both sides a clear, timestamped record if a dispute does come up later.

Compliance and document management

Right-to-work checks, DBS status, and other qualification documents need to be stored, checked, and kept up to date somewhere reliable. Software that tracks document status per worker — and flags what's missing or expiring — removes a manual checklist that's otherwise easy to let slip.

Multi-agency and multi-branch support

If an agency operates more than one branch, or wants to work with other agencies to cover shifts it can't fill alone, the software needs to support that natively — separate logins and no shared visibility between branches or partner agencies defeats the purpose.

How Meet Resources covers this

Meet Resources combines shift-and-worker matching, digital timesheets, and KYC/compliance tracking in one platform, with built-in support for agencies collaborating with each other on shifts and workers they can't otherwise cover. It's built specifically around the day-to-day admin that costs agencies the most time, rather than being a general-purpose recruitment CRM adapted after the fact.
