From Paper to Digital Timesheets: An Implementation Guide

Meet Resources Team 3 Jul 2026 1 min read

Switching from paper or spreadsheet timesheets to a digital process is a straightforward change in principle, but it goes more smoothly with a clear rollout rather than switching everyone over at once.

Start with why it's changing

Workers and clients who understand the switch is about reducing disputes and payment delays — not just "new software" — adopt it faster than those who are just told to use something different.

Pick a natural starting point

Rolling out to new workers and new placements first, rather than mid-placement switches, avoids disrupting anything already running smoothly on the old process.

Keep the new process at least as simple as the old one

If digital timesheets require more steps than filling in a paper slip, adoption will be slow. The digital version should be faster for the worker, not just more structured.

Train the approval side, not just the submission side

Workers submitting hours is only half the process — hirers or agency admins approving them need to understand the new workflow just as well, or approvals become the bottleneck instead.

Handle the transition period deliberately

There will be a period where some placements use paper and some use digital. Deciding upfront how that's handled (rather than letting it happen ad hoc) avoids confusion about which process applies to which shift.

Measure the improvement

Tracking dispute rates and payment delays before and after the switch gives a concrete answer to whether it's working, rather than relying on impression alone.

How Meet Resources supports this

Meet Resources' digital timesheets are built to be simpler for the worker than paper, not more complex — a shift-linked entry, submitted once, approved in the same place, with break and rate-type handling done automatically.
